Working-time record template for Excel

A sheet with the columns article 34.9 of the Spanish Workers' Statute asks for, and the daily total worked out for you. No sign-up, no email, no conditions: it is a file.

Opens in Excel, LibreOffice and Google Sheets.

What is inside

Date
One row per person per day. The record has to be daily.
Employee
Full name, or whatever identifier you use on the payroll.
Start time and end time
The only two the law names explicitly.
Breaks (min)
Not required by law, but without them the total does not match what was worked.
Hours worked
Calculated as soon as start and end are there. Leave it alone.
Notes
For what nobody remembers later: a trip to A&E, a swapped shift.

Is this enough to comply?

Yes, if it is genuinely filled in every day and kept for four years. Spanish law has required working-time records since 12 May 2019, but says nothing about the medium: paper and spreadsheets remain valid. A draft royal decree would require records to be digital and remotely accessible, and as of 1 November 2026 it is not published in the official gazette.

When this sheet stops being enough

We say this because it is honest and because it is what actually decides, not because we sell the alternative. If none of these three is you, keep the template and do not write to us.

  • The people are not where the sheet is. If the team works at the customer's site, the record ends up filled in from memory on Friday. A record filled in from memory is not reliable, and reliability is required.
  • Someone has to add the hours up for payroll. With four people that takes ten minutes. With fifteen it is half a day a month of someone who draws a salary, every month.
  • You are asked for the record and have to go looking. The labour inspectorate can ask, and it does not give you weeks. If it lives in twelve files on three computers, the problem is no longer complying: it is proving it.

Is your case one of those?

Tell us how many people you are and where they work. If the sheet is enough for you, we will say so and that is the end of the conversation.
